Managing Word Templates

You can export your workflow diagram in a Word format and create a Process Definition Document (PDD) using the Word templates available in File > Export > Word Document > Template View. To manage these templates use the below options:

If the needed template is already added, it should be displayed in Template View. Select it. The selected template has a blue frame around it (1), and its name is indicated at the top of the panel. (2).



Access the context menu by right-clicking the template or hovering over it to see the following options:

Renaming a Template

Hover over the template to access the context menu via a three-dots icon or just right-click on it.

  1. Select the Rename Template option if you want to change the name of it.

    Note: The Rename option is not available for the default template.


  2. Type in the new name and click Save.



Editing a Template

Note: Default templates cannot be edited. If you try to do so, a copy of it is generated, enabling you to edit the copy.

Hover over the template to access the context menu via a three-dots icon or just right-click on it.

  1. Select the Edit template option if you want to modify the content of the template.



  2. See the template file in .docx format opened automatically. Apply the changes you need, save the file and come back to Task Capture to use it for your PDD.

    Important:

    Default templates cannot be edited. If you try to do so, a copy of it is generated, enabling you to edit the copy.

    You can adjust the design and structure according to your branding needs from a default template.

    You can use the default template as a basis as it's easier to ensure you added all the needed placeholders.

Save

Hover over the template to access the context menu via a three-dots icon or just right-click on it.

  1. Select the Save option if you want to share the template with your teammates
  2. The Save as pop up is displayed. Select the location and, if needed, update the File name.
  3. Click Save.



  4. The document is saved in .ssword format. This is the format of the Word template file supported by Task Capture.



Removing a Template

Note: Default templates cannot be removed.

Hover over the template to access the context menu via a three-dots icon or just right-click on it.

  1. Select the Remove option if you want to delete it



  2. Confirm your action.



Add a Template

Note: Please visit Creating your own template to find out more about creating your template before adding it to the list.
  1. Click the Add template button.



  2. Choose the file (1) and click Open (2).



    Templates are supported in two formats:

    • .docx file - The template is added to the list of all templates and the preview image is a generic one.
    • .ssword - The template is added to the list of all templates and the preview image is from the inserted file.

      Note: In case you try to add an invalid template, an error message is displayed guiding you to troubleshoot the template using the information from the Troubleshooting a Broken Template or contact our technical support.
  3. The template is added to Task Capture and can be selected for exporting your workflow diagram in a PDD.
